What is a morning huddle? And why does our office need one? We barely have time to get in in the morning much less add an extra 15 minutes to discuss the day. We have all said it, right?
Top performing offices have one thing in common – a morning huddle
Morning Huddle is a quick meeting that involves the entire team and everybody should show up prepared and participate – What does that look like?
The front office should come prepared with information such as production and collection for yesterday and where the office is in relation to the monthly goal, how much treatment was presented yesterday and how much was scheduled, how much production is scheduled for today in relation to goal and how much is scheduled tomorrow in relation to goal. The front will also give information such as how many new patients are coming today and information about them, what openings there are in the schedule today or tomorrow and any patients that need to be spoken with about finances or have questions or concerns.
The clinical team reviews each patient and provides an overview of what they’re doing -Is the patient scheduled for the correct time in the schedule, treatment that is still outstanding and are all forms and consent signed. This is an opportunity for the doctor to ask for certain items or bring up certain information or add in something specific such as don’t forget to take an X-ray on #12 as we’re seeing if that implant has healed well.
The hygiene department should run down their list of patients identifying if they are an A, a C, or an E patient. Advising if they are in for healthy mouth hygiene services or periodontal maintenance or something different, if they are on track with their appointment time or have they run over. For example- Doreen is coming in for a three month period maintenance and was last seen 4 1/2 months ago . Who needs exams are discussed as well so the doctor is aware of who they’re going to need to go in and see.
A morning huddle is not a team meeting it is not a time to talk about what you did last night or what your plans for the weekend are or complaints about XYZ. Yesterday, today and tomorrow – what went well and what opportunities exist.
Having and holding an organized morning huddle takes a little preparation but everyone is prepared for the day and that is the goal. If patients have made appointments months in advance, shouldn’t we be prepared when they show up?
